this document sets out the total Terms and Conditions that apply to any transaction between you and Viroxware.

Viroxware endeavours to bring you IT and IT related products at the most competitive and latest prices.

Unless otherwise stated, all of our prices are in Euro’s, and include GST or VAT.

When our suppliers change a product price, our web site will reflect those changes automatically and immediately.

For any products that can not be delivered directly, (such as 'Order-In', ‘Out of stock’ etc) prices may change between when you place your order and when the actual product becomes available. Viroxware will try to absorb any price differences when possible, but if this is not economically possible we will have to pass the price variation on.

General description how we process your order
These paragraphs describe how the ordering process is designed, and what you can expect when buying from Viroxware.

Together with our

  • Viroxware Terms and Conditions and Web site usage policy,

  • our warranty and returns-policy,
this document sets out the total Terms and Conditions that apply to any transaction between you and Viroxware.

Normally you download an evaluation copy of one of our products or services from our website. In order to update and make use of the downloaded programs to their full potential, you need to subscribe or obtain a license.

You can place your order (for example for an activation key) by using Viroxware’s online Shopping System and when you place your Order, we will send you an Order Number or Key to get full access to your program via email or sms, depending on your product. Alternatively, you can call our customer service centre and place an order via the telephone. You can find the telephone number on the website under the contact us tab.

After receipt of your order, we will notify you that your order is being processed. This notification is by sending you an Order Confirmation and tax invoice via email. However, we do not formally accept your offer until your order has passed our internal validation procedures and payment has been received. Viroxware reserve the right to refuse service, terminate accounts, remove or edit content, or cancel orders at our sole discretion.

We will confirm acceptance of your order when we send you an email confirming shipment and estimated time of delivery of the goods that you have ordered, or in case of a key, we’ll sent you the key after your payment has been cleared. If we cannot process or accept your Order after payment is received, we will contact you by email in order to discuss alternative products, or to cancel the order if necessary.

Payment and ownership of goods
Viroxware currently accepts direct debit and Credit Card payments. Regularly new payment options are added, and payment options also depend on the country the products are offered. Personal cheques are never accepted. All products will remain property of Viroxware until payment has been received in full, and in case of software or other digital products, the software license (EULA) will be in place.

Viroxware owns the title of any extra goods shipped with your order that have been dispatched in error.

Delivery of your order
If applicable, all freight costs will be borne by the purchaser and are clearly stated on the Viroxware invoice. You are responsible for any loss or damage to goods in transit by any courier or Postal service, and need to register for insurance if you would like to have the goods in transit insured. You are responsible to have someone at the delivery address to sign for and accept the delivery, and you are responsible for paying any freight charges incurred by refused shipment and unclaimed goods.

Estimated time of arrival of your order
In case of ordering products that have to be physically shipped, Viroxware will make every effort to deliver on time or on the agreed or stated estimated time of arrival. However, we shall not be held liable for delays, lost or partially lost shipments.

Deliveries or pickup
Most of Viroxware’s products are downloaded via the internet, sms, mobile internet or other ways of electronic data transfer. However, in case of physically shipped products, Viroxware offers you different ways to obtain your product. Depending on your needs and the products, you can choose to have express delivery or normal delivery. Note that for the different delivery options different post & package prices apply.

Returning Product for Service or Replacement
In case we supplied you with a physical product (such as software on a cd, dvd) , please follow the below stated rules to return a product for service or replacement:
  • An Return Authorization Code (RAC) must be obtained from our customer service department before any goods are returned by calling our customercare line. You can find the number on our website, under the contact-us tab.
  • the RAC must be clearly written on the shipping label and a copy of the original invoice must be supplied.
  • All costs incurred in returning the product to us for repair, replacement or credits are your responsibility.
  • Warranty on all equipment will be the manufacturers warranty and at the manufacturers discretion.
  • It is your responsibility to ensure that all products are suitably packaged in order to prevent damage during return shipping. You must not write on or attach labels to the product being returned. Padded post bags are not considered adequate packaging unless the product is inside a box is the bag.
  • We accept no responsibility for goods lost in transit. It is your responsibility to insure them.
  • We will not accept goods sent to us as receiver pays (unless authorized by us) or without a clearly marked RAC.
  • A RAC number does not guarantee credit, repair or replacement. It is simply an authorization to return goods to us that we issue for tracking and logistical reasons.

Returning Product for Credit
Please follow the below stated rules to return a product for credit:

  • A Return Authorization Code (RAC) must be obtained from our customer service department before any goods are returned by calling our customercare line. You can find the number on our website, under the contact-us tab.
  • Software is non-refundable once opened.
  • Please check the specifications and compatibility of the goods being ordered to ensure they are what you require as we do not supply goods on a trial basis.
  • We are happy to advise on the compatibility or suitability of the equipment being purchased. We cannot, however, guarantee that it will work in your system and we take no responsibility that it will meet your requirements.
  • We do not refund or credit for incorrect choice.
  • Items that are being returned for credit MUST be unopened in their original undamaged/unmarked packaging, and will incur a restocking fee of a minimum of 15%.
  • No credit is available for any freight paid.
  • Items being returned for credit for "incorrect choice" are returned for shop credit or replacement only and refunds are not available in this case. This credit will be based on the lesser of the original purchase price and the current price when we receive the product back.
  • No goods will be accepted for refund or credit after 7 days from the date of invoice.

General Conditions related to returns:

  • RAC's are valid for 7 days only, any item sent after the seven days will not be accepted by our returns department.
  • We reserve the right to refuse any returns that:
    1. are incomplete or missing parts; or
    2. are not returned in their original packaging,
    3. show signs of physical damage to the product or its packaging.
    4. do not include a valid Return Authorisation Code on the shipping label.
    5. have an expired Return Authorisation Code.
  • If you receive a product that appears to have been "Damaged in Transit" - that is, damaged in transit from us to you - you should:
    1. Refuse to accept delivery of the product.
    2. Direct the courier to "Return goods to sender"
    3. Notify our Customer Service immediately on our customercare line. You can find the number on our website, under the contact-us tab.
  • Events such as wilful damage, misuse, unauthorised repair or tampering with a product may prevent a product being accepted for return or warranty repair or replacement.
